The information set out in this privacy policy is provided to individuals (you or your) whose personal data ISTF processes as data controller, in compliance with our obligations under the UK General Data Protection Regulation (UK GDPR), as defined in the Data Protection, Privacy and Electronic Communications Privacy and Electronic Communications (Amendments etc) (EU Exit) Regulations SI 2019/419 including any variations and adoptions of the regulation therein and the Data Protection Act 2018 or any amending or superseding legislation applicable in the UK.

ISTF needs, in order to provide the requested services, to make international transfers of your data, to countries located outside the UK 

ISTF will not transfer personal data relating to you to a country which is outside the UK unless one of the following scenarios under UK GDPR applies:

  2. appropriate safeguards have been put in place which meet the requirements of UK GDPR Article 46; or

    1. the transfer is necessary to perform, or to form, a contract to which ISTF is a party:

    4. the transfer is of a limited nature, and is necessary for the purpose of our compelling legitimate interests.
Protection of your personal data

ISTF has implemented appropriate technical and organizational security measures to protect personal data in its possession from unauthorised access, disclosure, alteration or destruction.  Such measures include administrative, technical and physical safeguards, for example, limiting access to personal data only to employees and authorized service providers who need to know such information for the purposes described in this privacy policy.

Retention Period

Unless ISTF is required or permitted by law to hold on to your data for a specific retention period,the personal data will be stored for as long as the purpose for which they were collected continues in force including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. In particular:

  • Contact Data is retained for as long as you are an active user of our website and for two years after you delete your account
  • Usage Data is retained for as long as you are an active user of our platforms and for two years after you delete your account.
  • Financial Data is retained for six years from the date of your last transaction with or through us; and
  • Marketing data is retained unless and until you withdraw your consent.

ISTF may retain your personal data for a longer period in the event of a complaint or if ISTF reasonably believes there is a prospect of litigation in respect to our relationship with you.

To determine the appropriate retention period for personal data, ISTF considers the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which ISTF processes your personal data and whether ISTF can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.

Where ISTF no longer needs your personal data, ISTF will dispose of it in a secure manner.

How to Exercise Your Rights

Data subjects may exercise their rights of access, rectification, erasure, portability, and limitation or right to object by writing to the mailing address of the Data Controller, or email at [email protected], attaching an identification document. 

ISTF will try to respond to all legitimate requests within one month. Occasionally it could take longer than a month if your request is particularly complex or you have made a number of requests. In this case, ISTF will notify you and keep you updated.

Please note that you are entitled to request one copy of the personal data that we hold about you at no cost but, for any further copies, we reserve the right to charge a reasonable fee based on administration costs.

If you are based in the UK, you also have the right to lodge a complaint with the UK’s supervisory authority, the Information Commissioner’s Office, if you believe that ISTF has not complied with applicable personal data protection laws.   2. Managing CVs
Purpose

To manage the job applications received and the selection processes, as well as to carry out communications related to them and, where appropriate, for their inclusion in the candidate pool in order to take the application into account in future processes. Furthermore, the processing will include the management of the attendance of participants to the International Science Teaching Foundation premises in case of an in-person interview.
